How To Host A Successful School Assembly

RHS-PAC_UpperLevelWhether it be to introduce students and teachers to a new, informative topic or to meet with a large group of students at once to discuss upcoming events such as graduation, school assemblies are a great tool that administrators can use. Not only do they allow you to reach the masses at once, but they also help to break up the school day and provide students and teachers with the opportunity to learn about topics that might not be covered in the classroom. But don’t be fooled – planning an assembly is not as easy as it may seem and requires quite a lot of time and effort from school administrators.

With the new year in full swing, do you plan on scheduling a few upcoming assemblies? If so, use the following tips as a guideline to ensure that the ones you host are nothing short of successful:

  • Select a date and time that works for all administrative staff, teachers and students. If the assembly will be broken into two parts in order to accommodate the size of your school, make sure that times are chosen appropriately based on the schedules of each grade level.
  • Depending on the nature of the subject, let teachers and students know in advance if anything must be prepared in order to participate. Additionally, let them know if specific attire is to be worn as well in order to take part in certain activities if applicable.
  • Make sure that your audio and visual technology is working properly in order to avoid technical difficulties the day of. If the assembly will include a presentation, also make sure that you have the proper equipment needed so that it is visible to all guests.
  • If multiple speakers will be present, create a schedule to outline the order of when they’ll be speaking and give each a predetermined length of time before hand so that they can prepare accordingly.

When it comes to hosting a successful school assembly, the final piece of the puzzle is to make sure you have adequate seating for your guests and speakers. Even if they aren’t to be seated for an extended period of time, you’ll want to make sure they are as comfortable as possible when they are.
